Efforts to Improve the Appointment Scheduling Process

Winchester Gastroenterology is experiencing a higher-than-normal volume of appointment requests. We are committed to providing a great patient experience, and know that experience includes the ease of creating an appointment with your provider.

To improve the scheduling process, we’ve taken the following actions:

1. We’ve hired additional staff in our scheduling department.
2.
We’re working with gGastro, our online patient portal, for patients to be able to schedule their own appointments through the portal. We expect this new feature to be released in 2023.

If your call has not been returned within 2 business days, please email us at contactus@winchestergi.com. We are asking patients to not leave a second voicemail, as this only further bogs down the system and creates more work for our team.

FAQ

How can I make an appointment to come to your office?

You can request an appointment on our site or by calling our office at (540) 667-1244.

How do I know if I need a referral for my office appointment?

Many insurance plans, especially HMO’s, require a referral or written authorization from your Primary Care Physician for each visit. Your PCP should be able to tell you if you need a referral but ultimately it is your responsibility to know if a referral or written authorization is required before each visit and to obtain one.

For further questions or concerns regarding your referral please call our office at (540) 667-1244 and ask for our Authorization Specialist.

Do I need to bring anything to my office appointment?

Yes, please bring your insurance card, co-payment owed, medical records that would pertain to your office appointment, and any current medication list or your medications. If you are a new patient to our facility please print out and bring the Patient Intake Forms along with you to your visit with us to help expedite your visit.

Why can't I drive myself home after my procedure?

Since you will be sedated, you will need to arrange for someone to drive you home after the procedure. If you do not have a driver your procedure will be cancelled. You cannot go home by cab unless you have a responsible party with you.

An item I needed for my procedure prep has been recalled. Where can I find alternate prep instructions?

What if I need to cancel my appointment?

Should you wish to cancel your office appointment, please notify us at 540-667-1244 at least 24 hours prior to your scheduled appointment time. Less time than 24 hours’ notice will result in a $35 “no show” fee being billed and due prior to rescheduling another appointment.

If you wish to cancel your out-patient procedure such as a Colonoscopy, UGI Endoscopy, ERCP, etc., please immediately notify us at 540-667-1244. (This number is available after hours for messages.) Failure to notify us of your cancellation within 48 hours may result in a charge of $75 to you.

I need an interpreter for my appointment. How does that work?

Some of our providers speak languages in addition to English. However, if your provider is not fluent in your preferred language, we can help. Winchester Gastroenterology Associates offers translation services for over 300 languages through CyraCom, including Spanish and American Sign Language (ASL). The interpreter will join your appointment via video or phone.

Please let the scheduler know when you make your appointment if you will need a translator.

Winchester Gastroenterology offers translation services free of charge as part of our commitment to superior patient care and in compliance with the Americans with Disability Act (ADA).
