Scheduling Supervisor

Busy gastroenterology office is seeking a full-time Scheduling Supervisor to join our team!

Must be flexible, dependable as well as an out-going individual with strong work ethics and integrity. Must be upbeat, compassionate and professional. Excellent customer service skills with a professional and friendly demeanor are essential. Must possess good communication skills. Must be able to inspire their team to do their best work. Job Description

Under the direction of the Practice Manager, the Scheduling Supervisor will be responsible for coordinating and supervising daily activities and development of scheduling staff. This position will assist in hiring and training process and ensure each Scheduler is well prepared for incoming/outgoing call volume. The Scheduling Supervisor will support the Scheduling team by monitoring their progress, ensuring each Scheduler understands and meets expectations, answering questions and providing ongoing coaching opportunities and continuous development.

ESSENTIAL DUTIES AND RESPONSIBILITIES

– Responsible for the management and staffing of the scheduling team and referral coordinators. This includes hiring, performance management, disciplinary action, and maintaining department schedules including scheduling and staffing arrangements, handling time off requests and reviewing and approving timecards.
– Promoting and creating a positive and collaborative work environment for the department. Conducts regular department meetings and has regular communication with the team.
– Communicate all policy changes to the scheduling team and handle any interoffice issues that may arise.
– Responsible for responding to any patient or referring physician office complaints in regards to the scheduling process or personnel and resolve such issues in a timely and appropriate manner ensuring the relationship with our referral base is kept.
– Maintain relationships with referral sources and network with new sources to initiate or increase business flowing to our physicians.
– Liaison between physicians and team members, or outside facilities to resolve any scheduling issues or complaints that either may have, responding and resolving in a timely manner.
– Maintain and implement physician scheduling protocols and templates. Work closely with physicians and clinical team members to coordinate schedules and preferences.
– Manage professional relationships well and maintains a high degree of confidentiality.
– Must demonstrate excellent customer service focus with strong verbal and written communication skills.
– Strong analytical, time management, and organizational skills with ability to multi-task.
– Responsible for daily staffing of the Scheduling team including managing/covering shift hours and monitoring use of overtime to adhere to the department’s annual budget.
– Actively monitor staff productivity and contribute to the Practice Manager’s performance appraisals; assist with disciplinary action, as appropriate.
– May act as the initial point of contact for problem patient appointments by working with staff to remediate issues and escalate as appropriate for completion.
– Perform other duties or functions as assigned or requested.

Clinical Assistant

Busy gastroenterology office is seeking a full-time Clinical Assistant to join our team!

Must be flexible, dependable, and an outgoing individual with strong work ethics and integrity. Medical experience required. Medical Assistant or Certified Nursing Assistant preferred. Must have knowledge of the digestive system and its functions. Looking for an individual who has excellent customer service skills with a professional and friendly demeanor. Must be a team player, able to multi-task, and able to adapt to a fast-paced environment.

Job Description

ESSENTIAL DUTIES AND RESPONSIBILITIES

– Must demonstrate an understanding of patient confidentiality to protect the patient as well as our practice.
– Handle busy provider clinic
– Triage patient and obtain history pertinent to physician seeing patient
– Takes vital signs (pulse, blood pressure, respirations) as well as height/weight and accurately records results in patient’s chart
– Records all of the patient’s current medications in the appropriate section of the chart
– Performs intramuscular immunizations and injections
– Cover other clinical staff if needed
– Notify physician of any significant health changes or hospitalizations
– Obtain any necessary reports, hospital records, etc. to assist in patient care
– Notifies provider when patient is ready for examination
– Assists provider with examinations and procedures as needed
– Answers telephone and acts as a patient relations representative for the practice by taking care of the needs of the caller within the scope of his/her knowledge and practices standards
– Adhere to OSHA and HIPAA guidelines
– Maintain clean and orderly exam rooms
– Informs the provider of acute or significant changes in the patient’s condition or symptomatology and provides follow up care as directed
– Organizes and prepares the charts for clinic
– Works within a team to support clinical floor
– Performs other tasks or services deemed necessary by the provider or supervisor

EDUCATION

– High school or equivalent (Required)
– Medical Assistant or Certified Nursing Assistant (Preferred)

EXPERIENCE

– Medical office: 1 year (Required)
